How We Protect Your Information

Last updated: October 20, 2026

Your tax documents and financial records are some of the most sensitive information you have. Here is how Books & File keeps them safe.

We never collect documents through our website

Our website does not ask for or accept tax documents, Social Security numbers, or bank details. After your free call, we email you a private, encrypted upload link. Documents go straight to secure storage, not to an email inbox.

Our safeguards

  • Encrypted transfer and storage. Client files are sent through encrypted upload links and stored in secure, encrypted systems.
  • Multi-factor authentication. Accounts that hold client data are protected with multi-factor authentication.
  • Limited access. Only authorized team members who need your information to do your work can see it.
  • Protected devices. Work devices use strong passwords, screen locks, current security updates, and anti-malware protection.
  • Trusted providers. We use reputable accounting, tax, and file storage providers and review how they protect data.
  • Secure disposal. When records are no longer needed, we securely delete or shred them.

A written security program

As a tax preparation business, we follow the FTC Safeguards Rule and IRS security guidance for tax professionals, including IRS Publication 4557. We maintain a written information security program, review it regularly, and have a plan to respond quickly if anything goes wrong.

How to spot a scam

  • We will never ask you to send your Social Security number, bank login, or tax documents by text message or regular email.
  • We will never ask you to pay with gift cards, wire transfers to an unknown account, or cryptocurrency.
  • The IRS does not start contact by email, text, or social media. If you get a message claiming to be from the IRS or from us that seems off, call us before you click anything.

If something looks wrong

If you think your information has been exposed, or you get a suspicious message using our name, contact us right away. If a security incident ever affects your information, we will notify you and the appropriate authorities as required by law.
